Hide & Ledger — User Guide

A guide to using Hide & Ledger for tracking inventory, costing jobs, and running your hide & fur business.

Note: This guide is written around Hide & Ledger's core features. Screen names, button labels, and exact navigation may differ slightly from what's below — swap in the real menu/button names as you go so this matches your actual app.


Getting started

Hide & Ledger runs as a standalone browser-based app — no install required. Open the file in your browser to launch it. All of your data is stored locally, so it's a good habit to back up your data file regularly (see Backing Up Your Data below).


1. Pelt & Material Inventory

This is where you track everything coming into your shop — pelts, hides, hardware, thread, and any other raw materials.

Adding a new inventory item:

  1. Go to the Inventory section.
  2. Click Add Item.
  3. Enter the material type (e.g., "Silver Fox Pelt"), grade or quality notes, quantity, and unit cost.
  4. Save. The item now appears in your running inventory count.

Tracking usage: As you use materials on jobs (see the Job Builder section), your inventory counts should automatically decrease so your on-hand numbers stay accurate without manual recounting.

Why this matters: Knowing exactly what you have on hand — and what it cost you — is the foundation for accurate job costing later.


2. Recipe Costing

A "recipe" is the exact combination of materials, hardware, and time that goes into a specific product — like your Rowan Clutch or Sherry Bag.

Building a recipe:

  1. Go to the Recipes section.
  2. Click New Recipe and name it after the product (e.g., "Rowan Clutch").
  3. Add each material/component used and the quantity required (e.g., 1 fox pelt panel, 2 magnetic snaps, 1 yard of lining fabric).
  4. Add labor time if you're tracking that as part of cost.
  5. Save — the recipe now calculates a true per-item material cost automatically.

Why this matters: Instead of guessing what a piece costs to make, you get a real number pulled from your actual current material costs — so your pricing is based on fact, not a gut feeling.


3. Purchase Order Receiving

Use this to log materials as they arrive from suppliers and get them into your inventory count.

Creating a purchase order:

  1. Go to Purchase Orders.
  2. Click New PO, enter the vendor and the items you're ordering.
  3. Once the order ships, mark it as Pending.

Receiving a purchase order:

  1. When materials arrive, open the PO and click Receive.
  2. Confirm quantities received match what was ordered (adjust if a shipment was short or different from expected).
  3. Once received, those items are added directly into your inventory — no manual re-entry needed.

Why this matters: This keeps your inventory numbers matching what's actually on your shelves, and gives you a paper trail of what you paid for materials — useful at tax time (see the sales tax discussion from earlier — this is where purchase-side tax tracking would live too).


4. Job Builder & Margin Tracking

This is where you turn a recipe into an actual job or order, and see your real profit margin before you commit to a price.

Building a job:

  1. Go to Jobs and click New Job.
  2. Select the recipe (or build a custom one-off) for what you're making.
  3. Hide & Ledger pulls in the material cost from the recipe automatically.
  4. Enter your intended sale price.
  5. The margin — your profit after material cost — calculates automatically.

Why this matters: You see your margin before you quote a customer, so you never accidentally under-price a piece because you forgot to account for a cost.


5. Build Planner

Use this to plan out what you're making and when — especially useful heading into busy seasons or shows.

Planning a build:

  1. Go to Build Planner.
  2. Add upcoming jobs with target completion dates.
  3. Use the planner view to see what's due when, so nothing gets missed during a busy stretch.

6. Reports & CSV Exports

Whenever you need your data outside the app — for your accountant, for taxes, or just to review — you can export clean reports.

Exporting a report:

  1. Go to Reports.
  2. Choose the report type (inventory, job costing, purchase orders, etc.) and your date range.
  3. Click Export CSV.
  4. Open the file in Excel, Google Sheets, or hand it directly to your accountant/tax preparer.

Why this matters: At year-end, you don't have to manually reconstruct your numbers — you pull a clean export and you're done.


Backing Up Your Data

Since Hide & Ledger runs locally rather than in the cloud, make a habit of saving/exporting a backup of your data periodically — especially before any major update or before switching computers. Store a copy somewhere safe (an external drive or cloud storage folder) in case anything happens to your primary device.


Tips for getting the most out of Hide & Ledger

  • Set up your recipes first. Once your recipes are built with accurate costs, everything downstream (job margins, planning) becomes much faster.
  • Receive purchase orders promptly. The sooner materials are logged in, the more accurate your inventory stays.
  • Export reports regularly, not just at year-end — a quarterly habit makes tax time painless.
  • Review your margins before finalizing a price with a customer, not after.
